Geotab Reporting: Deep, Customizable, Still Missing the Money

Geotab’s reporting is genuinely deep — and it still won’t tell you your cost per mile, flag a vehicle ready for replacement, or connect a repair invoice to a driver behavior pattern. That gap is where fleet money disappears.

If you run a Geotab-equipped fleet, you already know the platform’s strengths. Hundreds of built-in reports. Custom dashboards. Deep telematics data on idling, speeding, harsh braking, and engine diagnostics. For safety and compliance teams, it’s a serious tool. For the fleet manager trying to make a replace-vs-repair call on a truck burning through shop visits, it leaves you hunting across spreadsheets.

This post is for the operations director who has Geotab — and wonders why the reporting still doesn’t feel like an answer.


What Geotab Reporting Actually Does Well

Give credit where it’s due. Geotab’s MyGeotab platform is one of the most customizable telematics reporting environments on the market. Its strengths are real:

  • Driver behavior scoring. Harsh events, seatbelt compliance, speeding — granular and reportable.
  • Engine diagnostics and fault codes. Real-time DTC alerts that can feed into PM triggers.
  • Idling and fuel reports. Idle hours per vehicle, fuel consumption trends across the fleet.
  • Custom report builder. With enough internal expertise, you can pull almost any telematics metric and schedule it as an automated report.
  • SDK and API access. Geotab’s open platform means third-party integrations are possible — if you have the technical resources to build them.

The keyword in that last point is if. Geotab’s depth is real, but it’s also expertise-dependent. Many fleets have Geotab deployed and use a fraction of its reporting capability because building and maintaining custom reports requires someone who knows the platform — time most fleet managers don’t have.


Where Geotab Reporting Stops Short

Here’s what Geotab’s reporting cannot do out of the box — and why each gap costs money.

1. It Doesn’t Calculate Cost Per Mile

Geotab tracks miles. It does not calculate what those miles cost you.

Cost per mile (CPM) is the number that ties operations to finance. It incorporates fuel, maintenance labor, parts, tires, and depreciation across each asset. Without it, you’re managing activity, not cost. Industry benchmarks from the American Transportation Research Institute (ATRI) put average Class 8 trucking operational costs at $2.251 per mile as of their 2023 Operational Costs of Trucking report — but your fleet’s number is what matters, broken down by vehicle.

Geotab can tell you a truck drove 80,000 miles last year. It cannot tell you that truck cost you $0.41/mile in maintenance alone, putting it $0.12 above your fleet average and signaling a replacement conversation.

That’s the calculation RC Willey runs through Link-X — landing at $0.07 per mile fleet-wide with $21,000 per vehicle in total cost of ownership visibility. That number comes from combining telematics miles with repair invoices, parts costs, and fuel card data — none of which Geotab unifies on its own.

2. It Doesn’t Process Maintenance Invoices

Geotab is a telematics platform. It receives data from your vehicles. It does not receive data from your shop, your outside vendors, or your fuel cards in a cost-normalized format.

That means every time a truck comes in for a repair, the invoice lives somewhere else — a paper file, an email, a separate shop management system. Geotab has no knowledge of it. Your CPM calculation for that vehicle is incomplete the moment a bill is paid.

Automated invoice processing — OCR capture, line-item coding, and cost rollup against each VIN — is not a Geotab feature. It’s a separate problem most fleets solve with spreadsheets or don’t solve at all.

3. It Doesn’t Flag Replace-vs-Repair Decisions

Geotab can show you a vehicle’s fault history and mileage. It cannot model when cumulative repair costs have crossed the threshold where replacement becomes cheaper than continued maintenance.

A standard industry benchmark: when a vehicle’s annual repair cost exceeds 30-40% of its replacement value, replacement typically wins on a total cost basis. That’s not a complex calculation — but it requires combining asset age, odometer, depreciation schedule, and repair history in one place. Geotab holds one piece of that. The rest is elsewhere.

4. Connecting Driver Behavior to Repair Costs Requires Manual Work

Here’s the insight that should be automatic: your highest-idling drivers are also driving up your maintenance costs. Excessive idling accelerates engine wear; harsh braking degrades brake pads and suspension components.

Geotab surfaces both data streams. It does not connect them. Knowing that Driver A averages 22% idle time and Driver B averages 6% is useful. Knowing that Driver A’s assigned unit costs $0.09/mile more in maintenance than the fleet average — and correlating that to behavior — is actionable. That linkage requires joining telematics data to maintenance cost records, which Geotab doesn’t do natively.


The Expertise Tax

One honest critique of Geotab that experienced fleet managers raise: the platform’s power is real, but it’s not self-service for most operators. Getting meaningful custom reports out of MyGeotab typically means:

  • Dedicated internal expertise or a Geotab reseller on retainer
  • Time invested in building and maintaining report configurations
  • Manual export and manipulation in Excel to answer questions the platform can’t answer natively

For large fleets with IT resources, this is manageable. For a 50-truck recycling or construction fleet where the fleet manager is also handling dispatch, vendor calls, and driver issues, the reporting depth is largely inaccessible.


What the Intelligence Layer Adds

None of those results came from building better Geotab reports. They came from connecting maintenance cost data to the telematics data Geotab already provided.


The Bottom Line

Geotab is a strong telematics platform. Its reporting is genuinely more customizable than most. And it stops well short of the cost intelligence fleet managers need to make confident financial decisions — on replacement, on driver coaching, on maintenance spending priorities.
